How to collect files from clients with Content Collect

Content Collect lets you share a link or QR code so clients, venues, staff, and franchisees can send you photos, video, and files without a Sked Social account. Files land in a Library collection you choose. Each file shows who sent it and what they agreed to.

Before you start

– Content Collect is on every plan.

– You need manage collection links user permission to create Content Collect links

– A Library collection to receive the files. You can create one while you set up the link.

Create a collection link

  1. Open the Library and select Content Collect. 
  2. Select New collection link.
  3. Under Basics, give the link a name. Only you see this name. Contributors never do.
  4. Under How contributors send things, choose a mode. – File drop: one page, one drop zone. Fastest for contributors. – Guided: walk contributors through prompts, one ask at a time. 
  5. Under Link expires, pick a date or select Never expire. After that date the link stops accepting submissions.
  6. Under Destination, choose a collection, or select New collection to make one. Everything contributors send lands there.

Choose who gets notified

  1. Under Notifications, use Notify when someone submits to pick the teammates who get an email. Leave it empty and we email whoever created the link. Everyone picked can mute these emails in their notification settings.

Choose what you ask contributors

  1. Under Who's sending, choose Required, Optional, or Don't ask. – Required: contributors give a name and email before they can send anything. – Optional: contributors are asked and can skip. Anything they give is kept with the asset. – Don't ask: no name or email is stored against the assets.
  2. Tick Email contributors a receipt if you want contributors who give an email to get a one-off note listing what came through. It carries your logo, has no links in it, and nobody is added to a mailing list.
  3. Under Consent and rights, switch on Ask contributors to agree before they send if you want agreement recorded. – What they're agreeing to: write your terms. – Permitted uses: select Add a use for each tickbox. Mark a use required and a contributor can't send without agreeing to it. – Rights expire (optional): set a date if the rights lapse.
  4. Under Extra details, select Add a detail to ask for more, such as a city or a product name. Choose who fills it in, choose free text or a list, and switch on Contributors must answer this if it's required.

Choose how files arrive in your Library

  1. Under How assets land in your Library, choose how files are named: The file's own name, Who sent it, This link's name, The prompt they answered, or One of the details below. Add a description and tags if you want them on every asset.
  2. Leave Tag everything with this link on to add a collect: tag, so you can find everything this link brought in.
  3. Under What contributors can send, untick Images, Videos, or PDFs to turn those away before they upload.
  4. Under Branding, add a Logo, Brand colour, Headline, Instructions, and Thank-you message. Add a Redirect after submitting if you want contributors to land on your own page.
  5. Select Create link.

Share the link

  1. Under Share this link, select Copy link to share it, or Download PNG to save the QR code for print or a screen. Select Preview page to see what contributors see.

Anyone with the link can send files. No login needed.

What contributors see

Contributors open the link and see Share your content. A notice tells them what they send will be used as marketing content, and that files are stored at unlisted web addresses. The addresses aren't linked or listed anywhere, but anyone who has one can open the file. They select Start, add files, fill in any details, tick the boxes you required, and select Send. A final screen, All sent, lists what they sent.

Find what you collected

  1. Open the link from the Content Collect page. The Submissions table lists everything people have sent: From, Submitted, Status, and Items.
  2. Open the collection in the Library. Collected files carry the collect: tag. 
  3. Open an asset to see who sent it and what they agreed to. 
  4. Download everything. 

Manage the link

– Rotate link: issues a new link and QR code. The old one keeps working for a grace period you choose, 7 days by default, or enter 0 to cut it off immediately. Use this when an event ends.

– Close the link: the link stops working and shows a revoked page. Anything already collected stays in your Library.

Troubleshooting

A contributor says the link doesn't work. Check whether it has expired, been rotated past its grace period, or been deleted. Extend the expiry or send them the new link.

A contributor can't finish sending. Check they ticked every box marked with an asterisk. The Send button stays off until they do. Also check the file type. Images, videos, and PDFs only, and only the types you left ticked.

You didn't get an email when files arrived. Check Notify when someone submits on the link. Everyone picked can mute these emails, so ask them to check their notification settings.
The emails are batched in 15 minute intervals to group multiple submissions in one email notification.
